2. The guide

3. Records you can have without asking

What we sell, the work we do, how it goes in, this manual, and our privacy notice — all published on this site. Nothing on this site is hidden from you.

4. Records we hold

We are a small business. The records we hold fall into these subjects:

  • Clients and enquiries: correspondence, notes, quotes, agreements, invoices, project records and the conversations from this site's chat.
  • Suppliers and services: accounts, contracts and invoices for tools we use.
  • Our own business: financial records, tax records, and the technical records of the systems we run.
  • Personnel: none — we have no employees at the date of this manual.

Personal information is processed as described in our privacy notice.

5. How to ask for a record

  1. Write to the Information Officer at the email address above, or at the postal address once it is published, and say clearly which record you want and what form you would like it in.
  2. We will reply within 30 days. If we need more time we will tell you why, in writing, and when to expect an answer.
  3. If we cannot give you the record we will say which provision of the Act we are relying on.

There is no form you must use, but the Regulator's prescribed request form is available from their portal. A request in plain words is a valid request.

6. Fees

These are the fees prescribed by the PAIA regulations for a private body. We charge no more than these, and we will tell you the amount before doing any work: nothing is payable until you agree.

  • Request fee, payable by every requester: R140.00
  • Photocopy or printed black-and-white A4 page: R2.00 per page or part of a page
  • Printed copy of an A4 page held electronically: R2.00 per page or part of a page
  • Copy on a flash drive you provide: R40.00 · on a compact disc we provide: R60.00
  • Transcription of an audio record, per A4 page: R40.00 · copy of an audio record: R40.00 (drive you provide) or R60.00 (disc we provide)
  • Searching for and preparing the record: R145.00 per hour or part of an hour, excluding the first hour, capped at R435.00 in total
  • Deposit, only where the search will exceed six hours: one third of the estimated amount, calculated on the items above
  • Postage, email or other electronic transfer: at actual cost — email delivery of an electronic record is free

The first hour of searching is free by regulation. If a request is small — a copy of an invoice, or a record already on your file — it usually costs the R140 request fee and nothing else.

7. If we refuse

You may ask for our reasons in writing. You may then lodge a complaint with the Information Regulator, or apply to a court, as the Act provides.

8. How this manual is available

On this page, free of charge. A printed copy can be requested from the Information Officer, and the manual is lodged with the Information Regulator.
